Scheduling Coordinator

JOB DESCRIPTION

Position: Scheduling Coordinator

Department: Clerical

Status: Part-time (16 hours) with opportunity from growth into Full-Time Position

POSITION SUMMARY

Our Scheduling Coordinator will work closely with our Practice Manager and Intake Coordinator to schedule new and existing clients for appointments. Our Scheduling Coordinator will find and schedule clients for Intensive EMDR sessions.

RESPONSIBILITIES

Client services (90%)

  • Scheduling/canceling future appointments for Existing Clients

  • Rescheduling clients if a therapist is ill/needing to reschedule

  • Setting up New Client Accounts and appointments

  • Managing our therapist’s waitlist for new clients

  • Provides clients with referrals and resources if we are unable to see them

  • Checking client insurance benefits

  • Taking Payments and Updating Information over the phone

  • Maintaining outside referral list

 

Inner Community Management (10%)

  • Participates in monthly company business meetings to provide perspective on developing our services to clients 

  • Supports new client acquisition by actively promoting ICP’s services (marketing)

  • Help maintain a clean office environment

QUALIFICATIONS AND EXPERIENCE

  • High School Diploma or equivalent

  • Ability to use computer for communication and recordkeeping

  • Proficiency in Google Suite

  • Good Customer Service Skills

  • Community awareness of resource and willingness to market

WORKING CONDITIONS

  • Works at company office (some remote hours available)

  • Sharing workspace with other staff members

  • Face to Face interaction with clients
